FUNCTIONAL RESPONSIBILITIES:
- Follow all College and sponsor policies fulfilling grant compliance roles for all grant-related policies, forms, purchasing regulations, request for proposals, meeting deadlines, equipment request policies, allowable vs. unallowable expenses, and sole-source documentation.
- Interact with Systems Office Sponsored Program Office (SPO) staff to ensure compliance with College policy and procedures as the campus Grants Finance Designee.
- Execute grant compliance monitoring at the campus level.
- Monitor grant balances and interact with appropriate college staff to ensure that grant funds are fully utilized, meeting with Project Directors at least monthly.
- Provide monthly reports on grant activity to the AVCF and each Project Director. Provide additional monthly documentation to Systems Office Sponsored Programs Office department when required.
- Prepare financial reports following sponsor guidelines and ensure grants are properly closed out at the expiration of the grant period.
- Initiate and/or process Sponsored Program New Award Request forms, Grant Modification forms, and other forms as required by College policy.
- Review for and follow up on exceptions identified by Sponsored Programs and respond promptly, taking appropriate corrective action, such as accounting adjustments, journal entries, or budget modification requests.
- Advise and support Project Directors during the procurement process in coordination with the Finance Operations staff.
- Work with Fixed Asset Coordinator to ensure grant equipment purchases are appropriately identified, inventoried, and disposed of following both College and granting sponsor policies.
- Work with Human Resources and Payroll to ensure that labor distributions are correct and appropriate for employees funded by grants, either in part or in whole.
- Responsible for proper record retention of physical and digital files under both College and Sponsor retention policies.
- Assist with gathering audit documentation for both internal and external auditors of current and past grant awards.
- In collaboration with Project Directors, develop and implement best practices to facilitate the successful implementation and conclusion of grant initiatives at the campus level.
- Responsible for ongoing training of campus Project Directors.

EDUCATION AND EXPERIENCE:
- Bachelor’s degree in accounting or finance or related field required.
- Previous experience with grants preferred.
- Ability to analyze, interpret, and implement College policy and procedures is required.
- Ability to successfully manage and execute multiple grant projects and competing priorities to meet internal and external deadlines in a timely and efficient manner.
- Above average computer skills required. Knowledge of Microsoft Office required.
- Strong written and verbal communication and interpersonal skills.
- Strong organizational skills and detail-oriented.
